This Privacy Policy describes how Helperly ("Helperly," "we," "us," or
"our") collects, uses, and shares information when you use the Helperly
website and service at helperly.app (the "Service").
Helperly helps parents track their kids' recurring activities — classes,
practices, camps — on one calendar, and lets studios and gyms publish
class schedules to the families who follow them. If you don't agree
with this Privacy Policy, please don't use the Service.
1.1 Information you provide to us
- Account information. When you create a parent account, we collect your name, email address, and password (or, if you sign in with a passkey, a public-key credential — we never receive or store your device's private key or biometric data). If you enable multi-factor authentication, we store a TOTP secret used to verify your authentication codes.
- Information about your kids. As the account holder, you may enter names and activity/schedule information for your children so the Service can display and remind you about their activities. This information is provided by you, the parent or guardian — your kids do not create their own accounts or interact with the Service directly.
- Co-parent / family information. If you invite a co-parent to share your calendar, we collect the invitee's email address to send the invitation and, once accepted, associate their account with your family.
- Organization information. If you register or claim an account on behalf of a studio, gym, or similar organization, we collect the organization's name and any logo image you upload, along with the billing and contact information needed to administer the organization's account.
- Payment information. If you subscribe to a paid plan, payment is processed by Stripe, Inc. We do not collect or store your full payment card number — Stripe handles that directly, and we receive only limited information needed to manage your subscription (such as plan type, billing status, and transaction history). Stripe's privacy practices are described at stripe.com/privacy.
- Communications. If you contact us for support or otherwise, we collect the information you provide in that communication.
1.2 Information collected automatically
- Usage and log data. Our hosting and infrastructure providers automatically log standard web request information (such as IP address, browser type, and timestamps) as part of operating the Service securely and reliably. We do not use this data for advertising or behavioral tracking, and we do not operate any third-party analytics or advertising trackers on the Service.
- Error and performance monitoring. We use Sentry to help us detect and fix bugs and errors. We have deliberately configured Sentry not to collect personally identifiable information such as IP addresses or request headers — this is a setting we chose because the Service handles parent and kid scheduling data, and we did not see a specific need to send that information to a third party.
- Cookies. We use a session cookie to keep you signed in, and, if you choose "remember me," a longer-lived cookie so you don't need to sign in as often on that device. We don't use cookies for advertising or cross-site tracking.
- Push notification data. If you opt in to browser push notifications (a checkbox you actively check, followed by your browser's own permission prompt), your browser generates a push subscription endpoint that we store in order to deliver the notifications you requested. You can revoke this at any time through your browser's notification settings or by unchecking the option in the Service.
We use the information described above to:
- Provide, operate, and maintain the Service — including building your calendar, expanding recurring activities, and applying overrides;
- Send email and push reminders you've requested about upcoming activities;
- Authenticate you and secure your account, including passkey and multi-factor authentication;
- Process payments and manage subscriptions;
- Respond to support requests and communicate with you about the Service;
- Detect, investigate, and prevent fraud, abuse, and security incidents; and
- Comply with legal obligations.
We do not sell your personal information. We share information only in the following circumstances:
- Service providers. We share information with the vendors who help us operate the Service, each acting on our instructions: Stripe (payment processing), Google Cloud Storage (org logo image storage, in production), Sentry (error monitoring, configured without personally identifiable information as described above), and our hosting provider. If Google sign-in is enabled on your account, Google processes the profile information needed to authenticate you.
- Co-parents and organizations you connect with. If you accept a family invitation, the family owner and other accepted co-parents can see the shared calendar. If you subscribe to a schedule published by a studio or gym, that organization can see which of its published events your kid is assigned to attend, because that's how the Service's assignment/notification feature works.
- Public schedules you choose to publish. If you or an organization you administer makes a schedule public via the Service's public-sharing feature, the information on that schedule (activity names, times, and — for organizations — the org's own name/logo) is visible to anyone with the link, by design. Personal kid-assignment information is not included in public schedule views.
- Authorized support access. A small number of authorized Helperly administrators can, for support and troubleshooting purposes, temporarily view the Service as you see it ("impersonation"). Every such session is logged, and sensitive actions (like changing your password, MFA/passkey settings, billing, or deleting your account) are blocked while impersonation is active.
- Legal requirements and business transfers. We may disclose information if required by law, or in connection with a merger, acquisition, or sale of assets, subject to standard confidentiality protections.
Helperly is built around parents managing information about their
children — it is not a service that children use directly. Only an
adult account holder (the parent or guardian, or an accepted co-parent)
can create an account, enter a child's information, or interact with
the Service. We do not knowingly permit children to create their own
Helperly accounts or to submit information to us directly.
If you are a parent or guardian and believe your child has created
their own account or submitted information directly (rather than
through a parent's account), please contact us at

and we will investigate and remove it.
We retain account and activity information for as long as your account
is active, so the Service continues to work as expected. If you delete
your account, we delete or anonymize your personal information within a
reasonable period, except where we're required to retain certain
records (for example, billing records) to comply with legal, tax, or
accounting obligations, or where information remains temporarily in
backups until they age out.
We use technical and organizational measures designed to protect your
information, including encrypted connections, hashed passwords, support
for passkeys and multi-factor authentication, and logged, restricted
administrative access. No method of transmission or storage is 100%
secure, and we can't guarantee absolute security, but we work to
protect your information appropriately for the type of data we hold.
You can, at any time, from your account settings:
- Update your profile information;
- Manage or remove your children's activity information;
- Manage your passkeys, MFA devices, and connected sign-in methods;
- Manage your reminder and push notification preferences; and
- Delete your account.
Depending on where you live, you may have additional rights under
applicable state privacy laws (including Kentucky's) — such as the
right to access, correct, or request deletion of your personal
information, and to know how it has been processed. To exercise these
rights, or if you have any other privacy question, email us at

We may need to verify your identity before fulfilling certain requests.
We may update this Privacy Policy from time to time. If we make a
material change, we'll update the "Last updated" date above and, where
appropriate, notify you directly. We encourage you to review this page
periodically.
